ACCESS INSTRUCTIONS:

  1. 1)The Rapid Response System ( RRS ) can be accessed by clicking here OR by visiting www.ispannetworks.com and selecting the “Member Logon“ button to the right of the page.

  2. 2) Your Member Name and Password Information has been sent to you via separate email.

  3. 3)Once you are logged on - look for the “ What’s New “ section of the home page and select the “Grant Write and RFP Response” Database

Instructions for Accessing The Rapid Response System

I-Span Networks has developed an online Rapid Response System for RFPs and Grant Applications.

I-Span’s Rapid Response System ( RRS ) facilitates an accurate, complete and rapid response to RFPs or Grant Applications that require input from distributed respondents that generally lack the ability to quickly and easily collaborate.  We recommend you save or bookmark this document for future reference.

EDITING INSTRUCTIONS:

You are now seeing the Default General View  of the the RRS. 

  1. 1)Select the project you are working on by changing the “ View By ”: selector to the appropriate project.                       please note: The View By: selector is located in the darker blue header section immediately above the words “ Primary Task Description “

  2. 2)Look for your name in the “ Task POC” column.  These are the sections of the RFP that have been assigned to you for updating. 

  3. 3)For each of your Tasks that you wish to update - select the yellow pencil icon to the left of the page to enter the Edit Mode of the RRS.  The First Task of each Section is identified as the - SECTION SCORING - task.   The SECTION POC and section points are listed here  ... do not update the - Section Scoring - Task .

  4. 4)Once in Edit Mode - you will notice tasking information that the Project Administrator has already input into RRS.  Look for the “ Primary Task Description” section  - this describes what RFP input is expected for this particular tasking, it is usually written in the language of the RFP.   Next  find - the  “Primary Working Document” section  - here you will  find a msword.doc  link to the primary working document for download.  The document name will correspond to the section you are working in  for example: RRS Section 89985 Update. 

  5. 5)Select the link and download it to your desktop. Make the appropriate modifications to the document.

  6. 6)Once you have updated the word document  - SAVE AS - to your your desktop and only add “ Todays Date” to the document title in order to track the date that you have made the changes to the document - the new document name will read - for example: RRS Section 89985 Update 21April08.

  7. 7)Return to the RRS edit mode screen.  From the “ Primary Working Document “ section select the “Browse” button. Find the document that you just edited on your desktop and  hit the “OPEN” button. The document is now ready to be uploaded into the RRS.

  8. 8)Repeat this process to add separate, additional or supporting documents for this task in the “Sub-Task0X” sections while in Edit Mode. Use logical naming extensions for example: RRS Section 89985 Graph

SAVE, DONE & REPEAT INSTRUCTIONS:

  1. 1)While in Edit Mode review any other sections of this task that may need updating.  Specifically review your POC email information, as this will be the primary means to communicate with you regarding this task. Don’t forget to update the “Current Status” section to notify the Project Administrator of important changes or concerns.

  2. 2)Once all changes have been made for this TASK  -  select the “SAVE” button in the upper left corner of the Edit Mode screen.  You are now in Review Mode.

  3. 3)After reviewing your changes - select the “ DONE “ button located in the upper right section of the screen to complete the Task Update Process. very important : Task Updates are not completely saved until you hit both the SAVE AND DONE buttons ! 

  4. 4)YOUR TASK UPDATE IS COMPLETE !  You have been returned to the project view section and the RRS is ready for your next update.

  5. 5)REPEAT AS OFTEN AS NECESSARY
